Convert builders merchant price lists to Excel
Merchant price lists arrive as PDFs — sometimes hundreds of pages of them — and stay unread because nobody has the day it would take to type them into a spreadsheet. Converted, they become the basis for every quote you price.

You cannot compare what you cannot sort
Two merchants can be twenty per cent apart on the same product and you would never know while both lists are PDFs. Once each list is a sheet keyed on product code, the comparison is a formula and the cheaper source for each line is obvious.
- Compare list price, trade discount and net price side by side
- See which merchant wins on which category, not just overall
- Price jobs off current rates rather than last year's memory
- Catch increases the week they land instead of at invoice stage
What the conversion produces
Choose 'Supplier price list' as the document type and upload the PDF. Every product line is written to a Data sheet, with the merchant, list name, effective date and currency on a Summary sheet.
- Product code, description, unit and pack size in separate columns
- List price, discount and net price as numbers ready to calculate
- Section and category context kept with each line
- Multi-page lists handled without repeated headers polluting the data
Track increases between versions
Keep each conversion and the next one becomes a comparison. Line up this quarter's net prices against last quarter's on product code and the increases sort themselves to the top — useful evidence when you go back to your account manager.
Feed your estimating and ordering
A clean price sheet is the input to everything downstream: estimating spreadsheets, quote templates, stock system imports. Because the output is plain Excel, it drops into whatever you already use rather than asking you to change system.
Frequently asked questions
- Which suppliers does this work with?
- Any of them. The price list is read on its own terms rather than from a per-merchant template, so timber, plumbing, electrical and general merchant lists all produce the same columns.
- Can it handle multi-page catalogue lists?
- Yes. Repeated headers, section breaks and category rows are handled, and each product line comes out as its own row with its code and price intact.
- Does it capture trade discounts and price breaks?
- Where the list shows them, yes — discount percentage, band price or quantity break columns are extracted alongside the list price. If the list only shows a single price, only that column appears.
- How do I compare two merchants?
- Convert both lists, then match on product code or description in a lookup. Because prices come out as numbers, the difference column tells you instantly where each merchant is cheaper.
- How often should I re-convert?
- Whenever a new list lands — typically quarterly, or immediately after a manufacturer increase. Keeping the previous conversion lets you diff the two and see exactly what moved.
