Delivery dockets to Excel for construction
Every load that arrives on site comes with a docket, and every one of them matters at valuation time. Most end up in a glovebox, a lever-arch file or a WhatsApp thread — and then get typed up twice.

Where site paperwork goes wrong
Dockets are signed in the rain, folded into a pocket and photographed days later. By the time the merchant statement lands, nobody can prove whether the third load of stone on the 14th arrived, or which plot it went to.
- Materials costed to the wrong job, or to no job at all
- Short loads and duplicate charges paid without challenge
- Quantity surveyors chasing site staff for missing dockets
- The same figures typed once for costing and again for accounts
How the conversion works
Upload the photo or scan and choose 'Delivery docket'. Each line is read with its description, quantity, unit and price, and the header details — supplier, docket number, date, vehicle and site reference — are written to a Summary sheet.
- Concrete, aggregates, steel, timber, blocks and plant hire
- Site and job references captured for cost allocation
- Quantities as numbers, so loads total correctly
- Works with any merchant's layout, no template needed
Checking the merchant statement
Convert a month of dockets and you have a total per supplier that took minutes rather than an afternoon. Compare it against the statement, and anything invoiced without a matching docket is a query you can raise with a reference and a date attached.
Evidence when a claim comes up
Converted dockets stay in your dashboard with the original file, which gives commercial teams a searchable record of what was delivered, when and to which plot. That is far easier to produce during a dispute than a box of paper.
Frequently asked questions
- Does it handle concrete and aggregate dockets?
- Yes. Load quantity, mix or grade, vehicle registration, times and site reference are picked up where the docket shows them, which is what you need to cost a pour or challenge a short load.
- Can I cost materials to a specific job?
- The site or job reference printed on the docket is captured, so filtering the spreadsheet by reference gives you materials by job without anyone keying a cost code.
- Our dockets are photographed in the van. Is that a problem?
- No. Phone photos of creased, dusty or signed dockets are the normal input. As long as the page is in frame and readable, the lines come through.
- Will it help with merchant invoice checking?
- That is the main use. Convert the month's dockets, total them by supplier and compare against the statement — short deliveries and duplicated docket numbers show up immediately.
- What about plant hire dockets?
- Hire dockets convert too. Item, hire period, rate and any delivery or collection charge come through as separate columns so on-hire time can be checked against what was invoiced.
