How to extract quantities from delivery dockets
Quantity is the field that costs money when it's wrong. It is also the one most likely to be amended in biro at the tailgate, which is precisely why it deserves its own attention.

A quantity is never just a number
Twelve of what? A quantity only means something next to its unit, and dockets are inconsistent about where that unit lives — sometimes a column of its own, sometimes buried in the description, sometimes implied by the product code. Keeping the unit separate is what makes the column addable later.
- Each, box, pack, pallet, metre, tonne, cubic metre, litre
- Case counts alongside actual catch weights
- Pack size hidden inside the description text
- Ordered and delivered shown as two separate columns
The awkward cases
Part deliveries list a quantity lower than the order with a balance to follow. Amended quantities are struck through and rewritten by hand. Returns and credits appear as negatives, or as a separate block at the foot of the page. All three are ordinary in the trade and all three trip up template-based tools.
How the extraction handles it
The line-item table is identified first, then each column is classified by what its values actually are — so a quantity column is recognised whether it's headed Qty, Delivered, Units or nothing at all. Values come back typed as numbers, with the unit in its own field.
- Numbers arrive as numbers, so totals work immediately
- Units preserved in a dedicated column
- Legible handwritten amendments read from the page
- Totals rows excluded so you don't double-count
Checks worth running once it's in Excel
Compare delivered against ordered to surface shortages while you can still claim them. Total by product code per period to sanity-check usage. And filter for negatives to make sure every credit you were promised actually arrived.
Frequently asked questions
- Are units of measure kept?
- Yes. The unit sits in its own column, so 12 boxes never gets confused with 12 kilos when you total the sheet.
- What happens when a quantity is crossed out and rewritten by hand?
- Legible handwritten amendments on a printed docket are read. Because that's exactly where disputes start, those rows are worth a quick check against the image.
- Can it handle catch weights?
- Yes — where a docket shows both a case count and an actual weight, both come through as separate columns so food cost calculations work.
- Will quantities come through as numbers?
- They do, so SUM, pivot tables and comparisons against your order work without cleaning the column first.
- What about ordered vs delivered columns?
- Where the docket shows both, both are kept, which makes short deliveries obvious the moment you open the sheet.
