Scans and photos

Convert scanned PDFs and photos to Excel

Most trade paperwork never existed as a neat digital file. It was printed, signed, photocopied and finally photographed on a phone in a van — and standard converters give up on exactly that kind of page.

Why scans defeat normal converters

A converter that expects selectable text finds none in a scan, so it returns blank cells or a single image. Add a slight rotation, a staple shadow or a stamp across the table and even OCR tools produce columns that no longer line up with their headings.

  • No embedded text to extract, so output is empty
  • Skew and shadow break column detection
  • Stamps, signatures and margin notes confuse the layout
  • Second-generation photocopies lose thin table rules entirely

How the reading works

The page is interpreted as a document rather than a grid of pixels. Headings, line items, totals and page furniture are identified by what they mean, so the resulting spreadsheet keeps its structure even when the original was crooked or faint.

  • Phone photos, flatbed scans and emailed PDFs all accepted
  • Rotation and uneven lighting tolerated
  • Numbers come through as numbers, so totals work
  • Nothing to configure per supplier or per layout

Getting the best results

A little care at capture saves checking later: lay the docket flat, fill the frame with the page, and keep your shadow off the table. If the original is a very faint carbon copy, scanning it at a higher contrast setting gives noticeably cleaner output than a phone photo.

What you get back

Each upload returns an .xlsx file with a Data sheet of line items and a Summary sheet naming the supplier, document number and date. The file is emailed to you and kept in your dashboard, so the scan itself no longer has to be findable.

Frequently asked questions

How is this different from ordinary OCR?
Traditional OCR returns loose text and leaves you to rebuild the table. Here the document is read for meaning as well as characters, so a quantity stays a quantity and a price stays in the price column even when the scan is skewed.
Will a photo taken on a phone work?
Yes, as long as the whole page is in frame and the text is readable to you. Flatten the page, avoid heavy shadow across the table, and shoot straight down where you can.
Can it read carbon copies and thermal paper?
Usually. Faint carbon copies and faded till-roll style dockets are common in the trade and are handled, though very washed-out print may come back with gaps you should check against the original.
What about handwriting?
Legible handwritten quantities, signatures and margin notes on an otherwise printed docket are read. A page written entirely by hand in poor handwriting is less reliable and worth reviewing before you rely on it.
What file types can I upload?
PDFs and common image formats, up to 15MB per file. Multi-page PDFs are read in full and returned as one continuous table.
